Job Description Summary The Assistant Registrar is an essential part of the Registrar's Office, leading the solicitation, collection, review, production, maintenance, and auditing of the central campus academic schedule, as well as the assignment and administration of academic classrooms and the catalog course inventory in the student information system.
This position will also serve as functional administrator of scheduling and classroom software, and will coordinate with academic unit leaders--including provosts, college deans, associate/assistant deans, department/program chairs, FLAC liaisons, and others--to establish academic scheduling timelines and communicate with the campus community about academic scheduling, classroom assignment, final exams, and other academic scheduling and academic classroom issues.
The incumbent will also assume a leadership role in evaluating academic scheduling and classroom policies and procedures and will lead efforts to improve and implement recommended changes.
As a member of the Office of the Registrar leadership team, the Assistant Registrar will advise on short-term and long-term strategic planning and unit initiatives and will lead and/or assist with unit critical projects.
Minimum Qualifications High School diploma (or equivalent), AA Degree, or comparable combination of education and years of experience.
3 years of previous customer service experience 2 years of previous experience working with a large complex database 2 years of previous higher education experience Ability to write reports or ability to utilize a reporting tool Excellent customer service skills Excellent verbal and written communication skills Excellent problem solving skills and ability to exercise sound judgment and critical thinking skills Ability to work independently and as part of a team Preferred Qualifications Previous experience in a Registrar's Office and/or previous experience with class/event scheduling Previous experience with Banner or experience with another student information system such as PeopleSoft Previous experience with 25Live or similar software Previous experience with Cognos or similar software Previous experience or familiarity with understanding and enforcing complex policies Benefits Summary Salary will be commensurate with experience and internal equity.

Location La Verne Main Campus Number of Vacancies 1 Duties Specific Duties ACADEMIC SCHEDULING:
Oversee and coordinate the solicitation, collection, review, production, maintenance, and auditing of the central campus academic schedule for each term.
Establish benchmark dates relating to academic scheduling and planning, communicating those dates to the campus community.
Communicate procedures related to scheduling with relevant campus partners, update the scheduling website to communicate dates, materials, and trainings.
Provide training to and be the primary point of contact for all staff with regard to academic scheduling and classroom policies and procedures.
Create and audit the final exam schedule for the central campus each Fall and Spring semester.
Develop processes and procedures related to all aspects of academic scheduling for the purposes of improved efficiency and service.
Create and update relevant data in the Banner student information system in support of academic scheduling and registration functions, including setting up and auditing each academic term.
Percentage Of Time Specific Duties ACADEMIC CLASSROOM MANAGEMENT:
Act as functional administrator for classroom software for the University.
Manage academic classroom assignments for the central campus for each academic term.
Optimize the academic classroom assignment process and review classroom assignments, making necessary changes based on academic scheduling policies and practices.
Coordinate with campus facilities, OIT, and others to ensure accurate academic classroom inventory and information exists in all related systems (including Banner and 25Live).
Acts as Office of the Registrar liaison with key offices on campus with regard to enhancement and availability of academic spaces.
Communicate with campus facilities and campus safety to troubleshoot and assist in resolving academic classroom issues.
Communicate timelines and expectations to campus community about anticipated academic classroom assignments; communicate to University Events on release of academic spaces for event scheduling.
Percentage Of Time Specific Duties ADMINISTRATION & LEADERSHIP:
Act as functional administrator and expert resource for all software related to academic scheduling and academic classroom management, including Banner scheduling module and 25Live.
Develop materials, processes, and procedures for the training of staff on all required software related to academic scheduling and academic classroom management.
Lead the development, testing, maintenance, troubleshooting and documentation of relevant software, including Banner scheduling module and 25Live.
Lead development and implementation of special projects and initiatives related to academic scheduling, classroom management, and related software.
Act as liaison with software vendors and point of contact for troubleshooting and help requests.
As a member of the Office of the Registrar leadership team, provide leadership and supervision of essential services, participate in short and long-range planning for the Office of the Registrar.
Analyze existing policies and procedures, make recommendations for improvements, and implement new and revised policies and procedures, especially those related to academic scheduling and academic classroom management.
Percentage Of Time Specific Duties OTHER DUTIES:
Oversee collection and maintenance of the Banner course catalog, including processing and updating the inventory of courses in Banner.
Assist the Registrar and Office of the Registrar leadership team with collecting, reviewing, updating, and validating information in the printed University catalog.
Maintain the Registrar website as relates to information on academic scheduling, academic classrooms, and timelines; assist with updates and maintenance on all Registrar websites, forms, and materials as directed by the Registrar and/or Associate Registrar.
Assist with all commencement related activities.
Assist with other projects as assigned by the Registrar and/or Associate Registrar.
